Digitalisation & Process Automation

Making business
processes simpler.

I help small and mid-sized businesses take unnecessary manual work out of their processes. I don’t just advise, I implement it myself, until your team is working with it.

Arrange an initial call
Example / Customer enquiry

An enquiry is captured and checked automatically. In the standard case it goes straight into the system. If something deviates, a person decides, and then the case continues.

Standard case

  1. Enquiry (system)
  2. Capture (automated)
  3. Check (automated)
  4. System

Exception

  1. Enquiry (system)
  2. Capture (automated)
  3. Check (automated): deviation detected
  4. Decision (human)
  5. System

01 Reality

Digital is not automatically simple.

The systems are in place. In between, people work by hand.

Example / Order by email

The same process in two states. Today the case passes to an employee five times: open, read, check, copy, enter. Better: the routine runs automatically, and a person decides only when there is an exception.

Today

  1. Email (system)
  2. open (human)
  3. PDF (system)
  4. read (human)
  5. check (human)
  6. copy (human)
  7. Excel (system)
  8. enter (human)
  9. Order (system)

Better

  1. Email (system)
  2. Capture (automated)
  3. Check (automated)
  4. Order (system)
  5. Only for exceptions: decision (human), then order

Automate the routine. Leave responsibility with people where it is needed.

02 Principle

Process first.
Technology second.

Start with the tool, and you often automate the detour as well.

  1. 01

    Understand

Where does the effort come from?

  2. 02

    Simplify

    What can go?

  3. 03

    Automate

    What is routine?

Only here do we choose tools.

  4. 04

    Measure

    What has changed?

03 Processes

Where work becomes needlessly manual.

  • Customer enquiries

    The enquiry arrives by email.

Someone reads it, retypes the details, creates a case and forwards it to the person responsible. All over again for every enquiry.

  • Documents & data

    A PDF comes in.

Invoices, delivery notes and order confirmations are opened, the values looked up, transferred into the system by hand and filed.

  • Quotes

    Every quote starts with searching.

Prices, old quotes and customer data sit in different places. They are pieced together, calculated and sent off for approval. Then someone still has to remember to follow up.

  • Connecting systems

The data is already there. Just in the wrong system.

Customer data, orders and status updates are copied from one program and entered into another. The same information, captured by hand several times.

04 Viability

It has to pay off.

Not everything that can be automated should be automated.

If your existing system can already solve the problem, you do not need a new tool.

First assessment Three questions · no calculation

1 How often does the task come up?
2 How uniform is it?
3 What do errors or waiting time cost?

Answer the three questions.

A rough direction, not a promise.

In the Process Check we look at one specific process: what can be simplified, what your system can already do and whether automation pays off.

Almost 20 years in digital.

I have developed digital products, advised on them and been responsible for them, from several perspectives. Today, that experience comes together.
